Most CRMs start tidy and get messy. Notes end up in free-text boxes, the same company appears twice, and nobody is sure which phone number is current. Telling people to be more disciplined rarely fixes it, so the better approach is to let the system do as much of the tidying as it can.
JRNY is a sales CRM built by BetterQA, a software testing company in Cluj-Napoca. This post goes through the parts of JRNY aimed at keeping records in order, and the habits that still need a person.
Start from a clean import
Most teams begin with a spreadsheet. JRNY imports companies and contacts from .xlsx files and handles duplicates during the import, so the first step is getting the existing list in rather than retyping it. After the import, look through the list for gaps and repeats.
Turn messy notes into fields
The usual way notes go wrong is that they never get structured. JRNY lets you paste notes as you typed them after a meeting, for example:
> talked to james about the timeline - they want to move faster, maybe q1 instead of q2, budget seems flexible, mentioned the cto is pushing for this
The notes parser extracts the contact, the timeline, the budget and an urgency level, and it can fill in the matching fields. It is an AI extraction, so give the result a quick read before you rely on it. Over time the notes on a company pile up, and JRNY can organize them in chronological order so the newest state is easy to find.
Find problems before they spread
Look for companies with missing emails or no contacts on a schedule that suits you, such as before you send a batch of emails. JRNY does not run this check for you, so make it a team habit.
Duplicates are the most common problem: one company entered as "Acme Corp" and again as "ACME Corporation". Cleaning them up early is much easier than doing it after a year of notes have piled up on both.
Let sent mail log itself
Connect Gmail once and mail you send from JRNY is kept on the company record. That replaces the usual routine of copying emails into the CRM or forwarding them to a logging address. Mail written in other tools is not captured, so send from JRNY when you want the history to be complete.
Use one status per company
Every company in JRNY has a pipeline status: Pre, Hot, Cold, Signed or Closed. A single field that everyone reads the same way beats a mix of colours, tags and free text. Agree what each status means on your team, and write it down.
A short test
Pick a company at random and see whether you can answer these in half a minute:
1. When did we last contact them? 2. What did we say in the last meeting? 3. Is the contact information current? 4. What status is it in, and why?
If any answer takes digging, that is where to focus your clean-up.
What stays manual
Tools do not decide what a good record looks like. Someone still has to choose the pipeline status for each company, clean up repeats and read what the AI extracted. The aim is to remove the repetitive parts so those decisions get made.
AI features need your own OpenRouter API key, and you pay OpenRouter directly. JRNY itself is free for the first year.
