"When did we last talk to them about the pricing change?" If answering that means searching your inbox, checking meeting notes and asking a colleague, communication tracking is costing you time.
JRNY is a sales CRM built by BetterQA, a software testing company in Cluj-Napoca. This post describes how JRNY keeps sent email and meeting notes on one company record, and what you still have to log yourself.
Where communication is lost
Conversations happen across email, phone, video meetings and chat, and each has its own history. Logging by hand works for a week or two and then stops. The fix that lasts is a system that captures what it can without anyone remembering to do it, plus a simple habit for the rest.
Email through Gmail
Connect a Gmail account and send from JRNY, and the sent mail is kept on the company record. Everyone on the team sees it, so "did anyone email them?" has an answer without asking around.
The limit is worth knowing. JRNY keeps what you send through it. A conversation that happened in your regular mail client does not appear unless you also sent it from JRNY.
Replies and follow-ups
When a contact replies, JRNY can draft an answer from the thread, and it can draft a follow-up when a contact has gone quiet. You read the draft and edit it before it goes out. Because the draft starts from the real history, it avoids repeating what was already said.
AI features need your own OpenRouter API key, and you pay OpenRouter directly.
Meetings and phone calls
JRNY does not record or transcribe calls in a new workspace. For anything that happened outside JRNY, paste your notes after the meeting. The notes parser pulls out the contact, timeline, budget and urgency, and fills the matching fields. For example:
> call with mike - concerned about timeline, needs q1 delivery not q2, budget approved but legal is reviewing, wants pilot scope first, cto is supportive
It is an AI extraction, so read it over before relying on it. When several notes build up on one company, JRNY can organize them chronologically.
Email campaigns
If you send the same message to many contacts, JRNY has email campaigns. They turn on when you connect Gmail, and with the manual approval sending mode each message waits for you to approve it before it goes out.
Handing over an account
When someone else takes over an account, they should be able to see the following without asking:
1. The mail sent from JRNY to the contacts. 2. The meeting notes in date order. 3. The current pipeline status: Pre, Hot, Cold, Signed or Closed.
This is the practical test of whether your tracking works. If a new owner cannot reconstruct the relationship from the record, the gaps are where to start.
Keep contact data clean
Tracking fails if the contact record is wrong. Check for missing emails and out-of-date contacts as a regular habit. Contacts can be imported from an Excel file when you start, with duplicates handled during the import.
